CONFERENCE BOOKING TERMS & CONDITIONS

Provisional Bookings

Provisional Bookings may only be held for a maximum of 7 days. After such time, The Royal Hotel (N.W.)Ltd reserves the right to cancel any such unconfirmed booking. Confirmation of booking can be accepted on company headed note paper only, either by fax or letter. Confirmation may also be made by presenting a credit card number.

Payment of accounts.

Payment may be made by cash, cheque supported by a current bankers card, or credit card. If the invoice is to be settled by a credit account, then this account must be opened at least 7 days prior to the event. Accounts must be settled within 30 days net of invoice and within our current credit terms. Overdue accounts will be charged at 8% above the National Westminster Bank base rate, calculated on a daily basis

Numbers Of Delegates

Final numbers of delegates attending must be notified to The Royal Hotel at least 48 hours prior to the event, along with menu selections. The Royal Hotel (N.W.) Ltd can not be held liable for any delays resulting from incorrect final numbers. Delegate rates are for over 15 persons. Should numbers be less than 15 or fall below 15, then the Royal Hotel will add a hire charge equivalent to that if there were 15 persons present on the package chosen.

Room Hire

Room hire is included on delegate rates. The meeting rooms are available from morning until 6.30pm. If the meeting is to last for many days, with the exception of the Seabank suite, the room must be left in a tidy and reusable state, with no papers or display materials being left. The Royal Hotel (N.W.) Ltd reserves the right to make additional cleaning charges for rooms left in a disorderly manner. The Royal Hotel strongly discourages the use of blue tac, sticky tape and other such fixings, for notices etc. Any damage caused to walls, ceilings, fixtures or fittings will be charged for in full and made good by the person(s) hiring the room. Audio visual aids are provided for use. The exact aids required should be notified to the hotel in advance. Only those aids included within the package are available. Any additional aids will be the responsibility of the person(s) making the booking. Any audio visual aids will be treated with care and any damage to such aids will be made good by the person(s) hiring them. We regret that you are unable to bring in any of your own food or drinks. We always over cater for numbers, and as such, food left over can not be removed from the premises

Times of service.

The times of service of teas, coffees and any meals should be notified to the hotel in advance. Due to the perishable nature of some products served, we insist that these times are exact. We are unable to supply items at alternate times without prior notice, or without the prior approval of the manager on duty.

Liability

The Royal Hotel (N.W.) Ltd accepts no responsibility for any damage or loss of any articles left unattended or not on the premises. This extends to vehicles left in the car park. The Royal Hotel reserves the right to cancel any bookings made which are subject to the following:- fire, flood, industrial action, damage to premises forcing operational shut down, failure of the client to confirm the event. The personal safety and conduct of delegates remains the responsibility of the person(s) making the booking.

Other Conditions.

The Royal Hotel reserves the right to alter or amend conditions at any time without notice. These conditions relate to conferences only. Other Conditions apply. Other Conditions apply to other bookings such as accommodation and food.
